Guides

Preliminary crew budgeting usually starts with three simple numbers — how many people, what they're paid per day, and how long the job runs — plus an allowance for overtime. This calculator turns those into a base cost, an overtime uplift, and a total, along with a per-worker and per-day figure you can sanity-check against a quote or a bid.

The formula

Base Crew Cost = Workers x Daily Wage x Working Days Overtime = Base Crew Cost x Overtime Factor % Total Labor Cost = Base Crew Cost + Overtime

Overtime is modeled as a flat percentage uplift on the whole base cost, not an hour-by-hour timesheet calculation — this is a quick estimator for preliminary budgeting, not a payroll system.

Reading the per-worker and per-day figures

The total labor cost divided back down by worker count and by working days gives you two comparison points: cost per worker is handy for sanity-checking against an individual wage plus overtime, while cost per day is what you'd compare against a daily burn-rate budget or a competing bid's day rate.

How to use it

  1. Enter the number of workers on the crew.
  2. Enter the daily wage per worker.
  3. Enter the number of working days for the job.
  4. Adjust the overtime factor if any overtime is expected — leave it at 0% for straight time.
  5. The breakdown updates automatically with base cost, overtime, total, and the per-worker and per-day figures.

FAQ

Does this replace a full labor budget? No — it excludes benefits, payroll taxes, and other loaded-cost buckets unless you fold them into the daily wage yourself. For the employer's fully-loaded cost of a salaried employee (payroll tax, benefits, PTO, and more), use the Employee Cost Calculator instead.

Can I use this alongside a material budget? Yes — pair it with the Material Cost Estimator to build a combined labor-plus-material line-item estimate; a full project estimate also needs equipment, overhead, and risk allowances on top of both.

What if overtime is paid at a different rate per hour instead of a flat uplift? Compute the extra overtime dollar amount separately and add it to the daily wage (or working days) before entering it here, since this calculator applies overtime as a single percentage on top of the base cost rather than tracking individual hourly rates.
